Employee dossier

The employee dossier is where the paperwork side of an employment lives: the signed contract, growth plans, bonus agreements, the collective labour agreement. Every employee sees their own dossier; whoever handles HR can open anyone’s.

Through the profile menu at the top right (your own name) → Mijn pagina (My page, /me). Deliberately not in the sidebar: it is about you, not about a module. The entry only appears when the HR module is switched on and you hold permission to read a dossier.

HR is a licensed module, switched on under Instellingen → Modules (Settings → Modules).

Two cards at the top, the dossier below them:

  • Verlofsaldo (Leave balance): the combined balance per balance group, with a Naar verlof (To leave) link on your own page. This card only appears when the leave module is on as well.
  • Contract: In dienst sinds (Employed since), Uren per week (Hours per week) and, where there is one, Tot (Until). These come from the employment contracts recorded under Dienstverband and are read-only here. With no contract recorded, the card stays away.
  • The dossier, split into six fixed categories.

The categories are fixed, so every dossier in the organisation looks the same:

A category with no documents is shown only to someone who may manage documents, which keeps the page short for the employee themselves.

  1. Open Mijn pagina. If you may read every dossier, pick the employee from the Kies een medewerker… (Pick an employee…) box at the top.

  2. Go to Document toevoegen (Add document) at the bottom of the page.

  3. Choose the Categorie and type a Naam (Name), “Contract 2026” for instance. Leave the name empty and the file name is used.

  4. Pick the file and press Uploaden (Upload).

Each document carries the date and the name of whoever filed it. That name is stored at upload time, so the dossier stays readable even if the account disappears later. Both adding and removing a document lands in the dossier’s activity trail.

Deleting is done from the ⋯ menu beside the document.

Whoever may read every dossier gets an employee picker at the top of the page, so opening a colleague’s dossier to file a signed contract, or to check what is already there, takes no detour.

The two are deliberately separate from each other and from the leave permissions. “Someone may manage work schedules” therefore does not silently mean “someone may read employment contracts”. Roles are configured under Instellingen → Rollen (Settings → Roles).

  • Dossier files do not travel the ordinary file route. They are served by a route of their own that re-checks your dossier permission on every download, and the generic file route refuses dossier files outside your own dossier. A shared link to a contract therefore does not work for a colleague without the permission.
  • Identical files are stored once. The same signed PDF in two dossiers costs no double storage, and deleting one of the two documents does not touch the other.
  • The dossier has no import or export. These are files, not rows a spreadsheet could carry.
  • Delete a user account and its dossier goes with it.
  • The contract and leave cards come from the leave module. With that module off, My page shows the document dossier only.
